About i-Hub and its platform

  • Who are we?

    i-Hub is a subsidiary of  POST Luxembourg based in Kayl (Grand Duchy of Luxembourg). Its objective is to facilitate administrative exchanges between financial, legal and administrative service providers (banks, insurance companies, notaries, management companies, etc.) and their private and professional clients, by providing them with a free and secure digital file through which they can manage their identification documents necessary for the fulfilment of the legal and regulatory obligations of their service providers.

  • Is the use of the I-Hub platform for free?

    Whether you are an individual or a professional, registration on the i-Hub platform and its use are entirely free.

Your service providers, our clients

  • One of my service providers has entrusted the storage of my identification documents to i-Hub, why?

    i-Hub is the partner chosen by many financial, legal and administrative service providers to facilitate the collection, validation and maintenance of the identification documents necessary for your administrative exchanges. We centralise in a secure manner all the information that may be requested by your financial, legal and administrative service providers at each of your administrative exchanges. In other words, it saves you time!

Login and registration

  • How do I change my login password?

    Once you have logged into your digital file, click on your profile at the top right and then on “Settings”.

  • Is it possible to connect with Luxtrust?

    As soon as you register on i-Hub, you have the possibility to log in with one of the Luxtrust devices (Token, Mobile App and SmartCard) in your possession. If you want to change the Luxtrust device you initially chose, simply go to your profile settings.

  • I did not receive an activation code, why?

    Only our partners’ customers can obtain an activation code to connect to i-Hub and thus benefit from access to their personal digital file. If your bank is one of the i-Hub partners, it will certainly send you your activation code at a later stage. If you have any questions, please contact your bank manager directly.

  • What should I do if I forget my login details?

    If you have chosen to register via Luxtrust, contact them directly via www.luxtrust.com.

    If you have chosen a username and password, click on “I have forgotten my login details” to reset them. After clicking on “I forgot my password” and enter your e-mail address, you will receive an e-mail with a link (valid for 2 hours) allowing you to start the reset procedure.

    If you have forgotten your username, click on “I have forgotten my username”, enter the e-mail address you used when you registered, an e-mail will be sent to you automatically with your login details.

My file

  • How can I check the activity in my file?

    You will be notified of actions taken in your file in the “Notification Centre”. Click on the bell at the top right to view the information.

  • I want to add a document to my personal or company digital file, how to do it?

    Once in your digital file, go to the “My documents / Documents” tab and follow the instructions on the screen.

  • What documents are stored on the i-Hub platform?

    i-Hub securely stores all the documents useful for your administrative exchanges. For a user in his own name, this will include (but is not limited to) his identity card, passport, residence certificate, etc. For an authorised user of a company, this will include (but not be limited to) the articles of association, an extract from the trade register, a list of authorised signatories, the declaration of the beneficial owner(s), etc.

  • I am moving, my personal situation is changing or that of the company I represent, what should I do?

    First, go to the tab “My data/Data”, make your changes in the section “Home address / Head office address” and save. Next, click on your profile in the top right-hand corner and then on “Settings”, in the section “My contact data”, make the appropriate changes. Do the same in the section “My roles/Roles” for the contracts that require it. If necessary, i-Hub will ask you to attach supporting documents in order to check and validate the modified information.

Notifications

  • I received an e-mail from i-Hub, what should I do?

    i-Hub automatically informs you about activities on your digital file. While some notifications are only informative (e.g.: a new entry, a document about to expire…), others require an action from you (e.g.: a document has expired, a document is unreadable…). Log in to your file and follow the instructions displayed on the dashboard. You will always be able to find all the notifications received in your Notification Centre by clicking on the bell.

Privacy and security

  • How is the confidentiality of my information ensured?

    i-Hub offers a high level of security and confidentiality thanks to a strong authentication procedure and individual encryption of your information. Your information is stored on servers located in Luxembourg and protected by anti-intrusion procedures. Security being everyone’s business, you must not communicate your connection identifiers to anyone.

    Under no circumstances will i-Hub and its partners ask you for your password by e-mail, phone or mail.

  • I have received an email asking me to log in to i-Hub to confirm my bank details, what should I do?

    i-Hub will never ask you for account information from your bank(s). Contact us quickly at dpo@i-hub.com.

  • Who can see my information or the information of the company I represent?

    Your personal data and documents or the data and documents of the company you represent are first checked by our specialist teams (indexing, the correctness of the data in relation to the official documents, legibility of the document, the validity of the document, etc.).

    After verification, only the service providers with whom you have a business relationship will be able to consult them. You can find the list of your business relations under the tab “My relations / Relations”.

  • What information can my business relationships see?

    Only service providers authorised by law and subject to strict security conditions regarding the transfer of data may consult your data. Among these service providers, only i-Hub’s partners are authorised to access it and only those with whom you have a business relationship.

    Finally, only the data defined in the Law and necessary for a service provider to comply with its legal obligations can be transferred and consulted by the said service providers.

  • How long is my information or that of the company I represent stored?

    I-Hub keeps your data securely and in accordance with one of the two following rules:

    The respect of the minimum retention period as defined in the Laws in force,
    The instructions given by your business relations in order to comply with the legal provisions that would be applicable to them.

  • Does i-Hub use my personal data for marketing purposes?

    Under no circumstances does i-Hub collect, use or resell your information for marketing and commercial prospecting purposes. For more information, see our Privacy Policy.

  • Do my business relationships require my consent to migrate my personnel data to i-Hub ?

    Most of your business relationships (Banks, Insurance companies, Asset Managers, etc.)  do outsource some of the processes linked to their services. They inform their clients via their “Data Protection Notice” where they mention with whom they may share your personal data. At this stage they don’t need your consent to subscribe to i-Hub services and migrate your data to us as this is pure outsourcing authorized by regulators. Your consent will only be required as per GDPR rules if you would agree to share your data within i-Hub with your other business relationships, this is optional and only upon your own will.

Access to your i-Hub file via the banking applications

  • Why do I find my i-Hub file in my banking application?

    Some banks have mandated i-Hub to carry out checks following updates made by their customers (you). To facilitate access to i-Hub, some banks have decided to integrate access to your i-Hub file in their own banking application. This allows you to easily manage the information and documents in your i-Hub file from your favourite banking applications and to share your information with all your business relations as long as they are i-Hub customers.

  • Does the bank that allows access to my i-Hub file know about my other business relationships?

    No, the bank that allows access to your i-Hub file in its own banking application will only receive the information that concerns it and its business relationship with you. The information that you can manage in these screens and that concerns your other business relationships is not made available to the bank that hosts the i-Hub screens. So despite the fact that the screens are integrated into a proprietary application of the bank, there is strict confidentiality of your business relationships. The advantage of this technology, as you can see, is that you can manage your i-Hub file without having to reconnect and re-identify yourself directly with i-Hub. This is an additional comfort without compromising the security of access and the confidentiality of your information.

Sharing your information with your business relationships

  • What is the purpose of sharing my information via i-Hub?

    Sharing your information allows you to simplify data and document updates digitally and centrally with several of your business relationships. In this way, you avoid repetition and enable your business relationships to benefit from the most up-to-date information about you. It’s efficient and prevents your business relationships (banks, insurers, etc.) from contacting you in the future to ask for the same information. For example, if one of your business relationships asks you for a copy of your new identity card because the old one has expired, by uploading the new copy to the portal, your other business relationships will also be able to receive a copy of your new identity card.

  • Do I have to agree to the sharing of my information?

    No, sharing is a possibility, not an obligation. You and you alone can decide whether or not to share.

  • How do I access the i-Hub portal?

    If you are a BGL BNP Paribas customer and a POST Finance and/or Spuerkeess customer, since 2023 you have been able to give your consent to sharing via the i-Hub portal emulation available under the ‘My data’ tab in BGL BNP Paribas Webbanking.

  • How can I agree to sharing in the i-Hub portal?

    Simply go to ‘Settings’ and select the ‘Sharing enabled’ box. Selecting this option will activate the sharing of your information with your existing and future business relationships, to facilitate digital and centralised exchanges.

  • How can I revoke my consent to sharing in the i-Hub portal?

    Your consent to sharing may be withdrawn at any time. In accordance with the law, the sharing of documents and data that has taken place prior to this withdrawal will nevertheless remain lawful. Business relations may therefore retain the data and documents received prior to the date of withdrawal of your consent. For more information, in particular on your rights regarding the processing of your personal data (access, modification, deletion), please consult our Privacy Policy.
    You can change your mind at any time. Simply go to ‘Settings’ and select the ‘Share deactivated’ box. Selecting this option will deactivate the sharing of your information with your existing and future business relations for all your roles in i-Hub. You will still be able to make your updates, but separately for each of your business relationships.

  • I can see my Spuerkeess and POST Finance files in the ‘My data’ section of BGL BNP Paribas Webbanking. Is this normal?

    Yes, this is quite normal, as the ‘My data’ tab redirects you to the i-Hub portal, in i-hub’s own systems, for which you accepted the terms of use when you first logged on.

    As this is the i-Hub portal, even if it is integrated in the BGL BNP Paribas colours, you will find centralised files for all your business relationships that are i-Hub clients.

    Of course, BGL BNP Paribas does not have access to the information in the files of your other business relations. When you access the ‘My data’ tab in BGL BNP Paribas Webbanking, you are redirected to i-Hub’s IT system, which is completely separate from that of BGL BNP Paribas.

    If you also have a business relationship with Spuerkeess and/or POST Finance, you will be able to update your information, which will be automatically transmitted to them and only to them in complete security and confidentiality, even if you have not given your consent to sharing.

    Sharing not activated

    If you have not activated the sharing of your information, you will have to upload it three times in a row. This is because i-Hub strictly complies with the principles of the RGPD, which require your consent to be obtained before sharing can take place, and prevents sharing if your consent has not been obtained.

    Sharing enabled

    If you have activated the sharing of your information, the menus will allow you to make centralised updates common to all your business relationships. For example, if you have business relationships with BGL BNP Paribas, Spuerkeess and POST Finance, you will be able to upload your new copy of identity card once, which will be validated by the i-Hub teams and then made available to all three business relationships.

  • Who are my business relationships ?

    Your current and future business relationships, which are i-Hub clients, are regulated companies (mainly banks, insurers, investment funds, law firms):

    (1) which are subject to customer control and identification obligations related to the fight against money laundering or terrorist financing (including international financial sanctions and embargoes) and tax reporting (Foreign Account Tax Compliance Act (FACTA) and OECD Common Reporting Standard (CRS));

    (2) who have signed a contract with i-Hub;

    (3) who have a contractual or pre-contractual relationship with :

    * you (because you are a customer or have taken steps to become a customer)
    * the legal entity for which you have a role (e.g. manager, beneficial owner, authorised representative, etc.) and which is listed on the i-Hub platform.

  • What data and documents are shared ?

    The data and documents usually required to enter into and maintain a relationship with regulated companies subject to verification and customer identification obligations. These data and documents are described in our Privacy Policy and in our Terms of Use. Typically, the data and documents shared will be identification information. For example: first name, surname, address, date and country of birth, gender, marital status, nationality, occupation, tax residence, Tax Identification Number, identity cards, passports and proof of address.

    Conversely, the data and documents that will not be shared will be any data relating to your contracts with your business relations (for example, mortgage contracts with your banks).

  • Who can I contact to exercise my rights under the RGPD ?

    If you have not activated the sharing of your information, as i-Hub acts as a sub-contractor, you must request the exercise of your rights from your business relationships.

    If you have activated the sharing of your information, this sharing is carried out by i-Hub S.A., which is responsible for the centralised processing of your personal data. It is therefore i-hub that you can contact to exercise your rights via the dedicated form available in the i-Hub “Help Center”.
